When you email us, we receive your email address, name and the details you choose to send. For an AI Visibility Check, we ask for your business name, town, services, website, Google profile and competitors. Correspondence, agreed scope, reports and invoice records may form part of your client record.

Website requests also disclose technical information, such as an IP address, browser type and requested page, to our hosting providers for delivery and security.

Send public business information for a check. Please do not include passwords, patient records, confidential client files or other sensitive personal information in an enquiry.

We use information to answer enquiries, arrange and deliver services, communicate findings, manage invoices and protect the website. We do not sell personal information or use your correspondence to train AI models.

Our AI search services examine public business information and answers from AI assistants. Any access to your private business systems is agreed separately before the engagement begins.

Lovable and Cloudflare provide website hosting and delivery infrastructure. Email and business administration providers handle correspondence and client records needed to provide our services. Providers may process information outside Australia. Contact us for details relevant to your enquiry or engagement.

The website currently provides an email address for enquiries. Automated instant checks, online checkout, booking calendars, Google Analytics and Meta tracking are not enabled. Fonts are served from this website. Hosting providers may use technical logs or security technologies to deliver and protect pages.

We will update this policy and any relevant collection notices before introducing new forms, marketing subscriptions or integrations. An email enquiry does not automatically subscribe you to a newsletter.

We generally retain enquiry records for 24 months after the last contact and client engagement and financial records for seven years, unless a legal requirement or unresolved matter requires longer retention. Records no longer needed are deleted or de-identified where practicable.

We take reasonable steps to protect information using access controls and appropriate service providers. Internet transmission is not risk-free. We handle and notify eligible data breaches as required by applicable law.

You can ask what information we hold, request access or correction, ask for deletion, or withdraw consent by emailing hello@coastie.ai. We may verify your identity. Legal recordkeeping obligations can limit deletion.
